ESSENTIAL DUTIES AND RESPONSIBILITIES:

Sales Support and Customer Engagement 

  • Maintain and strengthen relationships with existing and potential customers through structured follow-ups and proactive monthly communication. 
  • Support External Sales Representatives and Manager by coordinating meetings, managing quotations, allocating leads and tracking lead progress. 
  • Respond promptly to customer inquiries via phone, WhatsApp and email, ensuring accurate product knowledge, pricing, and order information. 
  • Qualify and process incoming leads, converting them into actionable opportunities. 
  • Recommend alternative products based on specifications, cost, or availability. 
  • Be pro-active in supporting the delivery of the Sales growth targets the business sets 

Operational Coordination 

  • Collaborate with the Operations team to facilitate stock transfers, deliveries, and collections. 
  • Monitor in-country stock levels and assist with replenishment orders. 
  • Monitor delivery schedules to ensure timely execution and escalate potential delays. 
  • Accurately log all activity and performance metrics in our CRM systems. 
  • Proactively plan and coordinate orders to anticipate customer needs and resolve issues efficiently. 

Administrative Excellenc 

  • Prepare, issue, and manage quotations, order confirmations, and supporting documentation. 
  • Take ownership of assigned leads, ensuring end-to-end process completion. 
  • Maintain detailed and accurate records of customer interactions, sales calls, and administrative tasks. 
  • Participate in product and systems training to remain updated on new developments. 
  • Ensure our CRM system is up-to-date with the latest information 
  • Compile weekly and monthly reports for the Manager/Business as required 

Issue Resolution and Compliance 

  • Investigate and assist in resolving customer complaints in collaboration with relevant stakeholders. 
  • Escalate complex issues to the Director: Sales and Product. 
  • Maintain professionalism, strong communication, and a solutions-driven work ethic at all times.

QUALIFICATIONS AND EXPERIENCE

  • Diploma or Degree in Business Administration, Sales, or a related field.
  • Minimum of 5 years’ experience in sales administration, operations coordination, or customer service within a B2B environment.
  • Experience supporting external sales teams and managing CRM-based workflows.
  • Proven record of managing customer accounts across multiple territories.
  • Experience within manufacturing, building materials, or distribution industries will be advantageous.

CERTIFICATES/LICENCES/REGISTRATIONS
  • Valid South African driver license and own vehicle essential.

SKILLS:

  • Advanced computer literacy, including MS Office (Excel, Outlook, PowerPoint, Word). 
  • CRM system proficiency (e.g., Salesforce, Pipedrive, HubSpot, or equivalent). 
  • Strong written and verbal communication skills for professional correspondence and customer engagement. 
  • Excellent organizational and time management skills to manage multiple priorities efficiently. 
  • Attention to detail and accuracy in documentation, data entry, and reporting. 
  • Analytical and problem-solving skills for issue resolution and process improvement. 
  • Customer service and relationship management skills to maintain and grow client relationships. 
  • Numerical and administrative accuracy in handling quotations, pricing, and order details. 
  • Coordination and follow-up skills to ensure timely execution of deliveries and sales processes. 
  • Adaptability to work across multiple regions and handle diverse customer requirements.
